Navigating Submittal Tab
Filter Bar - Users can use these filters to filter the Submittal listing accordingly
Keywords - Search keywords within the Submittal title or in the comments within Submittals
Status (multi-select) - Filter out listing that has the selected Status
Hide Complete - Hide all the Submittal rows that has a Completed Date filled out to show only the active RFIs
Status Bar (color coded) - Users can see the running count of each Status
Overdue - Rows will be flagged red if the submit date is passed a certain amount of days and the completion date has not yet been filled in.
Show All Colors - If a user clicks on this checkbox or click on the bold Status, then the rows on the table will light up with the corresponding Status. (See picture below)
Submittal Table Listing - Click on any table headers to sort the entry by that header
Docs - a paperclip icon may appear, which means that the Submittal item has an attachment uploaded to it
Title - Click on the title to view/edit the data within the Submittal #
Action Icon -
Plus Sign - Allow user to create a sub-submittal. Link a new submittal with an existing one.
Report - Generate a PDF report of a single Submittal item
Trash Can - Only appears for PMs. PMs can delete a Submittal row in case of duplicate entries.
Submittal Report Generations - Click on the printer icon for a popup seen below
Full Submittal Report (PDF) - Users can generate a pdf report of all information entered within the Submittal tab including the comments and files upload for each Submittal items
Export Overview of Submittal Report (Excel) - Users can generate a basic overview of the information displayed within the table as an excel report (Does not include comments or file attachments).
Creating a New Submittal
Note: Red Triangle icon next to the Submittal Title and Submittal Description/Comments mean the fields are required for saving.
Submittal Status - PMs can change Status but it will be defaulted as Submit. Other users cannot change the status.
Submittal Type - Choose what type this Submittal relates to.
Submittal Title - Give a title to the Submittal being submitted
Linked Submittal # (Optional) - A dropdown of existing submittals. This allow you to select if the new Submittal being created relates to any previously submitted submittal. This will group them together in the Submittal listing page.
This will be auto-filled out if you clicked on the Green Plus Icon from Submittal Listing Page
Submittal Description/Comments - On new Submittal, please provide a brief description
Buttons
View/Attach Files - Opens a popup to allow users to view, upload or download any files related to this RFI
Save Changes - Save the projects data and also allow users to send notification to selected users.
Will only be enabled if all the red triangles have been satisfied
Cancel - Cancel the RFI and go back to the RFI listing page
Submittal # - For new submittal, this will be auto-generated for you.
Editing a Submittal
Submittal # - Number is shown when view/editing a Submittal number. Only PMs can change this data
If the submittal has a linked submittal # selected, the Submittal # will have a decimal point
Linked Submittal # - A dropdown of existing submittals. This allow you to select if the new Submittal being created relates to any previously submitted submittal. This will group them together in the Submittal listing page.
This will be auto-filled out if you clicked on the Green Plus Icon from Submittal Listing Page
Selecting an option will auto-generate a new Submittal # with a decimal point based on selected linked Submittal
Submittal Comment History - Any previously saved comments will show here in chronological order
Comment box - Users can enter any comments and hit save changes for it to appear in the description/comments history
Sending Email Notification
After clicking Save Changes in Submittal detail page, a popup will appear that will allow users to select who all will receive a notification regarding the recent changes to this Submittal
